Helpful Tips
- Enter employee names before creating many assignments so the employee dropdowns are easier to identify.
- Use employee-specific target or maximum hours when individual contracts differ from the team default.
- Leave employee availability empty if you do not want availability restrictions to be checked.
- If you do enter availability, make sure the entire work assignment falls inside an available period.
- Use All Day availability when an employee can work at any time during a particular day.
- Remember that a shift ending after midnight is treated as an overnight assignment.
- Enter unpaid breaks accurately because paid working time is calculated after the break is deducted.
- Use the duplicate assignment action when several employees or days use similar shift patterns.
- Check overlap warnings carefully before publishing the final schedule.
- A weekly maximum warning does not automatically delete an assignment; it alerts you so you can decide how to correct the schedule.
- Use the employee workload section to compare scheduled hours with target hours.
- Export the Excel workbook before making substantial changes if you want to retain a previous schedule version.

Worked Examples
The following examples demonstrate how this tool can be used in realistic scenarios.
Standard Monday to Friday Schedule
A business has three employees who normally work Monday to Friday from 09:00 until 17:00 with a 30-minute unpaid break. Each assignment has 8 gross hours and 7 hours 30 minutes of paid time. After five identical days, each employee has 37 hours 30 minutes of paid work for the week.
Overnight Assignment
An employee is scheduled on Friday from 22:00 until 06:00 with no break. The tool recognises that the end time falls on Saturday and calculates the assignment as an 8-hour overnight shift rather than treating the end time as earlier than the start time.
Availability Warning
An employee is recorded as available on Tuesday from 08:00 until 16:00 but is assigned to work from 12:00 until 18:00. Because the complete assignment is not inside the recorded availability period, the tool flags the assignment as outside the employee's availability.
Overlapping Assignments
An employee receives one Wednesday assignment from 09:00 until 14:00 and another from 13:00 until 17:00. The periods overlap between 13:00 and 14:00, so the schedule highlights an assignment conflict.
Maximum Weekly Hours
An employee has a maximum weekly limit of 40 hours but the completed schedule contains 44 paid hours. The employee workload summary shows that the maximum has been exceeded by 4 hours so the manager can adjust the schedule.
Employee Target Hours
An employee has a weekly target of 30 hours but currently has only 24 paid hours assigned. The workload section identifies the employee as under target and shows that 6 hours remain to reach the weekly target.
Common Mistakes
Avoid these common mistakes to achieve the most accurate results.
- Entering the same start and end time for a normal assignment. This represents zero duration and is invalid.
- Forgetting to enter an unpaid break when calculating paid working time.
- Adding employee availability but creating assignments that extend outside the available period.
- Assigning the same employee to two overlapping work periods.
- Confusing target weekly hours with maximum weekly hours.
- Setting an employee's target weekly hours higher than their maximum weekly hours.
- Assuming an overnight assignment belongs entirely to the day on which it starts.
- Removing an employee without reviewing assignments that were previously assigned to that person.
- Treating the weekly maximum warning as legal working-time advice rather than a scheduling limit configured by the user.
- Publishing a schedule without reviewing the warnings and employee workload summaries.
