The following examples demonstrate how this tool can be used in realistic scenarios.

Fully covered shift

A Monday shift from 09:00 to 17:00 requires two employees. Employee A is available from 08:00 to 18:00 and Employee B is available from 09:00 to 17:00. Both employees cover the complete shift, so two staff are available against a requirement of two. The shift has no shortage and is fully covered.

Understaffed shift

A Friday evening shift from 17:00 to 23:00 requires four employees. Only two employees are available for the complete shift. SwiftVecto reports two available staff, a shortage of two and 50% staffing coverage.

Overstaffed shift

A Saturday shift from 10:00 to 18:00 requires three employees, while five employees are fully available. SwiftVecto reports a staffing surplus of two. The additional employees represent available capacity rather than confirmed shift assignments.

Partially available employee

A shift runs from 08:00 to 16:00 while one employee is available only from 08:00 to 12:00. The employee overlaps part of the shift but cannot work the complete period. SwiftVecto therefore lists the employee as partially available and does not count them toward full staffing coverage.

Employee available beyond the shift

A shift runs from 09:00 to 17:00 and an employee is available from 08:00 to 18:00. Because the employee availability completely contains the shift period, the employee counts as fully available.

Exact availability match

A shift runs from 12:00 to 20:00 and an employee availability window is also 12:00 to 20:00. The availability covers the complete shift exactly, so the employee counts toward the staffing requirement.

Overnight shift coverage

A security shift starts at 22:00 on Sunday and ends at 06:00 on Monday. SwiftVecto treats the shift as continuing through midnight. An employee whose availability covers that full overnight period counts as fully available.

Weekly staffing comparison

A business enters several shifts across Monday to Sunday. SwiftVecto calculates each shift separately and combines the results into daily and overall coverage summaries so managers can quickly identify which parts of the week have the weakest staffing coverage.

Yes. The employee day controls allow a day to be marked as Available all day.

Can employees be marked unavailable for an entire day?
