Staff Availability Planner

Plan employee availability across the week, add multiple availability windows, mark all-day or unavailable periods, compare team coverage and export staff availability to Excel.

Staff Availability

Add employees, record when they are available to work, compare weekly availability and review team coverage.

Team Coverage

See how many employees are available during each combined time period. This helps identify periods with stronger or weaker staffing availability before shifts are assigned.

Add staff availability to see team coverage.

Split Availability

If someone is available at separate times on the same day, add multiple availability windows. For example, 08:00–12:00 and 16:00–20:00.

Overnight Availability

Availability such as 22:00–06:00 is treated as continuing through midnight into the following day.

Availability vs Shifts

Availability shows when an employee can work. It does not mean the employee has already been assigned to a rota or shift.

How to Plan Staff Availability

Add employees and record when each person is available to work during the week. You can enter multiple availability windows, mark entire days as available or unavailable, detect overlapping entries, calculate weekly availability and compare how many staff members are available at the same time.

Overview

The SwiftVecto Staff Availability Planner helps businesses, managers, supervisors and teams organise employee availability before creating shifts or a rota. Each employee can have multiple availability periods across the week, including split availability on the same day and overnight availability that continues past midnight. Days can also be marked as fully available or unavailable. SwiftVecto calculates weekly and daily availability totals, detects overlapping entries for the same employee, and builds a team coverage view showing how many staff members are available during each period. Results can be copied as a text summary or downloaded as an Excel-compatible workbook for further planning.

Helpful Tips

  • Use separate availability windows when an employee is available during more than one period on the same day.
  • For example, enter 08:00-12:00 and 16:00-20:00 as two separate windows rather than one continuous period.
  • Use Available all day instead of manually entering a full-day time range.
  • Use Unavailable when the employee cannot work at any time on a particular day.
  • An availability period such as 22:00-06:00 is treated as overnight availability crossing midnight.
  • Correct overlapping availability windows before relying on weekly totals.
  • Adjacent windows such as 09:00-13:00 and 13:00-17:00 are not treated as overlapping.
  • Use the weekly total to compare how much working availability different employees have provided.
  • Use Team Coverage to identify periods when several employees could potentially be scheduled.
  • A high availability count does not mean those employees have actually been assigned to work.
  • Use the Staff Rota Builder later when you want to turn availability into actual shift assignments.
  • Use the Shift Coverage Calculator when you need to compare staffing requirements against available or scheduled employees.
  • Download the Excel workbook when availability needs to be reviewed, archived or shared outside the browser.
  • Availability should normally represent when an employee can work rather than when they have already been scheduled.

Mark Saturday as available all day for an employee with flexible weekend availability.

Record overnight availability such as Friday 22:00 to Saturday 06:00.

Worked Examples

The following examples demonstrate how this tool can be used in realistic scenarios.

Standard daytime availability

An employee available from 09:00 to 17:00 on Monday has 8 hours of Monday availability. SwiftVecto includes those 8 hours in the employee weekly total.

Split availability

An employee available from 08:00 to 12:00 and again from 16:00 to 20:00 has two separate 4-hour availability windows, giving 8 available hours for that day.

Available all day

If Tuesday is marked Available all day, SwiftVecto treats the employee as available throughout the full Tuesday period without requiring manual start and end times.

Unavailable day

If Wednesday is marked Unavailable, availability windows entered for Wednesday are not included as usable availability until the day status is changed.

Overnight availability

Availability from 22:00 to 06:00 is recognised as continuing across midnight rather than being treated as an invalid negative duration.

Overlapping availability

If an employee is entered as available Monday 09:00-17:00 and Monday 13:00-18:00, SwiftVecto flags the entries as overlapping so the shared period is not silently counted twice.

Team coverage

If three employees are available from 10:00 to 12:00, the Team Coverage section can show that three staff members are available during that period.

Weekly availability comparison

If Employee A has 40 available hours and Employee B has 24 available hours, the weekly summary makes that difference visible before any shifts are assigned.

Common Mistakes

Avoid these common mistakes to achieve the most accurate results.

  • Entering the same availability window more than once.
  • Entering overlapping windows for the same employee.
  • Using one continuous window when the employee actually has a break in availability.
  • Marking a day as unavailable while also trying to use time windows for that day.
  • Marking a day as available all day while also entering custom availability windows for that day.
  • Confusing employee availability with scheduled working hours.
  • Assuming available staff are automatically assigned to a shift.
  • Treating a lack of entered availability as the same thing as explicitly unavailable.
  • Entering incorrect start or end times for overnight availability.
  • Using availability totals as a substitute for contracted working hours.
  • Assuming weekly availability means the employee should work all those hours.
  • Ignoring overlapping availability warnings before exporting results.
  • Using the planner as a payroll or attendance system.
  • Forgetting that employee availability may change from week to week.
